I sometimes, find myself in a similar situation,so many things to remember and so little time.
Actually,I maintain the agenda through a software called Effective Meetings 1.7.5.6.
    Just check it out.
usually , i donot entertain ppl who arrive late at the meeting.
    also,dress code is def a must(personal opinion)
Don’t get sidelined from agenda at any cost, though many a time you do get because of poor planning.
To avoid this, make sure you email the agenda well in advance before the meeting.
Most of us who actually use outlook for maintaining calendars,do not efficiently use it.
Most of us , never actually formally click and accept a meeting invite although ,we turn up at the meeting.
Doing small things like this can be great help to the overall performance of the meeting.

    Last tip :
Donot sleep & be inactive in the meeting and make your sure your breath is gr8.

(gr8 similarity between effective meeting and dating ..aint it ?)

@Prashant – Yes… the similarities between business relationships and personal relationships are near identical. After all, they are all forms of relationships.

The great thing about our meetings, is that we have A LOT of fun, while at the same time accomplishing goals. We believe in having fun first and then doing what we need to do to get business done.

@Morgan – Fun is a must. I just experienced my favorite meeting of all time. The whole company got together and everyone was given a nerf gun. They had a quick meeting and the CEO said “time to clear”… and they went through the office like a swat team. Then a nerf battle ensued. So much fun.
